Pay Stub Recordkeeping for Employers
A pay stub is most useful when it remains connected to the payroll evidence behind it. Employers should organize statements with the records that support hours, wages, deductions, payments, and later corrections.
Keep the supporting record set
Store the pay statement with the payroll register, time or salary records, pay-rate authorization, deduction documentation, and payment evidence for the same period. Use stable employee and period identifiers so the items can be reconciled later.
The Department of Labor explains that covered employers must retain specified wage and hour information. Its general FLSA guidance describes three years for payroll records and two years for records on which wage computations are based, while other federal, state, contractual, or business rules may require different periods.
Control access and copies
Payroll records contain identity and financial information. Limit access to people with a business need, protect exported files, and avoid sending more information than a recipient needs.
Use a naming convention that does not expose Social Security numbers or other sensitive identifiers. Backups should have the same or stronger access controls as the primary record location.
Track corrections without losing history
When a statement changes, retain enough information to explain the original issue and the approved correction. Connect the corrected document with any adjustment to wages, tax records, or year-to-date totals.
