What PayRecordly does—and does not do

PayRecordly creates a payroll-style earnings statement from information you provide. It does not run payroll, move wages, file employment returns, deposit taxes, register an employer, or decide whether a worker is correctly classified.

Use the result as one part of a documented payroll process. Keep the supporting time, wage, deduction, and payment records that explain every number shown on the statement.

Review before delivery

Compare gross pay, individual tax lines, deductions, net pay, pay date, pay period, and year-to-date totals with the business’s source records. If a figure is unresolved, correct it before buying or delivering the statement.

After payment, download the final document and store it using your business’s controlled recordkeeping process. Avoid putting payroll files in shared folders that are open to people who do not need access.

What a small business needs on every statement

A small employer usually has no payroll department to catch an omission, so the statement itself has to carry enough detail to be explained months later. Before you generate one, confirm you can support each field from a record that already exists in the business.

The fields below are the ones small employers most often leave incomplete. Year-to-date totals in particular tend to drift once statements are produced one at a time rather than from a running payroll register.

  • Legal business name and the employee’s name and pay period dates
  • Hours and rate, or the salary amount for the period
  • Each tax line and each authorized deduction, listed separately
  • Net pay, and year-to-date totals that continue from the previous statement

Situations that come up in small businesses

A first employee, a seasonal hire, an owner who also draws wages, or two people on different pay schedules all change what the statement must show. Set the pay schedule and the year-to-date starting balances before creating the first document, because those choices carry into every later statement for that worker.

Whether a worker is an employee or a contractor, and how the business must register, deposit, and file, are decisions that sit outside a document generator.
